Our common goal

For our Customer Service department in our offices in Amsterdam (Houthavens) and our Vitra Circle store in Zaandam we are looking for a new team member to ensure smooth administrative follow-up of customer cases and to be responsible for scheduling appointments for our local technician(s). You will assist our sales team and independent dealers in the sales processes (dealers and direct clients in the Netherlands). In short: you keep everything running smoothly!

Your Responsibilities

• Handling questions, complaints and processing returns together with the Service Department via SalesForce, via cases.
• Administrative follow-up of customer cases and service requests
• Planning and coordinating appointments for our local technician and external installation team
• Coordinating production-related issues and delivery data with Vitra International (factory)
• Monitoring deadlines and coordinating deliveries (logistics)
• Direct point of contact for our dealers via mail and telephone daily (e.g. information about products, prices, orders, deliveries, cases, …)
• Assisting the Sales Support Team with processing of incoming orders (via our Online Sales Configurator (OSC Pro) or manually) and invoicing of sales orders
• Identifying bottlenecks and contributing ideas for process improvements

Your Qualifications

• Bachelor degree (HBO) or Secondary vocational education (MBO) with minimum 3 years' experience
• Good knowledge of Dutch and English. Notions of German are an asset
• Excellent knowledge of Microsoft Office, SAP knowledge or other ERP is a plus
• Ability to work independently and in a team
• You are fluent and feel confident with different IT-tools
• Communication and organizational skills is a must
• A strong sense of detail and accuracy is necessary
• Has experience in a customer-facing or administrative role
• Is skilled at planning and multitasking
• Works proactively, accurately, and solution-oriented
• Has affinity with technical services (a plus)
