Executive Assistant

Harmelen Parttime €3300 - €4400 Staf

As an Executive Assistant, you are the central point of coordination in our organization. You support the CEO and MT professionally, ensure smooth daily operations, and keep an overview of priorities and follow-up actions. You are discreet, proactive, and people-oriented, the steady presence that keeps our leadership running smoothly. You do not have to do this alone as you will form a team together with the Office Assistant. You will coordinate the workload for the both of you and act as phone on-call backup when needed.

What will you do

• Provide direct support to the CEO, including calendar management, meeting preparation, prioritization and correspondence.

• Support the Management Team by organizing meetings, drafting agendas, taking minutes and ensuring follow-up on action points.

• Prepare and document Supervisory Board (RvC) meetings, including accurate minutes and coordination of related documents and actions.

• Supervise and coach the Office Assistant to ensure effective collaboration and task execution.

• Maintain professional contact with internal and external stakeholders at executive level.

• Organize company-wide meetings and quarterly sessions.

• Identify and implement improvements in processes, communication and administrative support using tools like ChatGPT and AI to enhance efficiency. You are comfortable adopting new AI solutions.

The skills

• A bachelor's degree (or equivalent working level) and several years of experience in a similar executive support role, ideally within an international environment.

• Excellent command of Dutch and English, both written and spoken; German is a plus.

• Strong organizational, communication and coordination skills.

• A proactive, flexible and calm attitude; you thrive in a fast-changing, innovative setting.

• A helicopter view with strong attention to detail.

• Excellent interpersonal skills: approachable, diplomatic and discreet, able to connect with people at all levels.

• Proficiency with Microsoft Office including PowerPoint, Excel and Outlook; experience organizing international travel and using digital tools is an advantage. You are open to AI solutions and do not shy away from them.

• Affinity with technology and innovation and ideally an interest in the agricultural sector.
