Office Manager (Fulltime or Duo Role)

For this role, we are open to either one full-time Office Manager or two part-time Office Managers who will share responsibility for the smooth daily operation of our Eindhoven office.
If the role is shared, the two Office Managers will together form the heart and face of our office - ensuring that everything runs seamlessly behind the scenes, from welcoming guests and managing supplies to organizing events and supporting colleagues.
No two days are the same: one moment you're preparing for a leadership meeting, the next you're coordinating a company lunch or resolving a facility-related issue. As a duo, you'll divide responsibilities, align on daily tasks, and ensure full continuity throughout the week.
Your Main Responsibilities
- Ensure our office, pantries, and meeting rooms are organized, stocked, and welcoming
- Manage suppliers, cleaning schedules, and building maintenance (including repairs and safety checks)
- Act as the first point of contact for employees, visitors, and external partners
- Coordinate office events, lunches, celebrations, and company outings
- Support HR and Management with internal and external meetings
- Organize business travel, hotel bookings, and team visits
- Manage incoming and outgoing mail and deliveries
- Maintain facility-related documentation, keys, and inventory
- Contribute to a positive, warm, and professional office atmosphere
- Work closely with your duo partner to divide tasks efficiently and ensure complete weekly coverage

- Strong multitasking skills and the ability to stay organized
- Comfortable working in a duo and coordinating shared responsibilities
- Fluency in both Dutch and English is required, as the role involves daily communication with colleagues, visitors, and external partners
- Tech-savvy (Outlook, Teams, Excel, SharePoint)
- Experience in office or facility coordination (2-3 years preferred)
- Detail-oriented, structured, positive, and tuned into workplace atmosphere
